How Rajan Chakravarthy & Associates Built a
Paperless, Manager-Less Practice with ERPCA.

Founded in 1976, Rajan Chakravarthy & Associates replaced fragmented spreadsheets and repetitive catchup meetings with ERPCA. Partner CA. P T Rajeev decentralized operations down to articleship trainees, instituted the mandatory UPI sign-off rule, and eliminated missed compliance deadlines.

The Firm Background

A Legacy Practice Seeking Modern Scalability

Established in 1976, Rajan Chakravarthy & Associates is a multi-partner Chartered Accountancy practice with deep expertise across direct taxation, corporate audit, and statutory compliance. As the firm expanded its articleship intake and client roster, the leadership realized that conventional supervision methods could no longer sustain their standard of client care.

Operational Bottlenecks

The Administrative Burden Before ERPCA

80% Partner Time Lost in Meetings

Partner CA. P T Rajeev found that up to 80% of his working day was consumed by internal coordination meetings, checking attendance, and finding out which staff member was working on which filing.

Lack of Transparent Task Visibility

Physical presence in the office did not guarantee work progress. In professional practice, an overdue task directly exposes clients to statutory late fees, interest, and severe business disruption.

Revenue Leakage from Memory Billing

Completed assignments depended on memory at month-end to generate invoices. Lacking automated visibility into task completion, billable work slipped through the cracks unbilled.

The Search for Reliable Software

After evaluating ten different office management tools since 2016, the firm repeatedly encountered software providers who neglected their systems after initial rollout, offering little post-implementation support.

The ERPCA Implementation

Turning the Firm into a Self-Executing Machine

When Rajan Chakravarthy & Associates deployed ERPCA, it fundamentally restructured the firm's hierarchy. Rather than hiring an administrative operations manager, ERPCA became the firm's invisible manager: an automated operational spine connecting partners, assistants, and clients.

The Mandatory "UPI Rule" for Task Sign-Off

To guarantee zero compliance omissions and complete fee recovery, CA. P T Rajeev instituted a strict completion protocol in ERPCA. No task can be marked closed by any team member without verifying three distinct milestones:

  • U (UDIN): Unique Document Identification Number generated and verified on the official portal.
  • P (Proof of Delivery): Client acknowledgment, official filing challan, or portal upload receipt uploaded directly to the task.
  • I (Invoice Raised): Invoice generated synchronously within ERPCA before the engagement is stamped complete.

Right at the beginning of each financial year, the firm sets up over 1,000 planned recurring tasks in ERPCA and allocates them across assistants. Every midnight, an automated summary message is delivered directly to the partner detailing every completed assignment, active delay, and time booking from that day.

Corroborating CA Transformations

Proven Across Diverse CA Practice Environments

Operating since 2002 across Rajasthan, this direct and indirect tax practice experienced multifold compliance increases following GST implementation. Implementing ERPCA allowed the partners to coordinate remote team members, allocate tasks across multi-branch offices, and maintain real-time performance tracking with zero missed regulatory filing dates.

Specializing in GST litigation advisory, realty, and service tax, partner CA Jignesh Kansara utilized ERPCA dashboard scheduling and task duration analytics as a preventive tool. Tracking actual task durations enabled the team to forecast workloads accurately, preventing last-minute rushes ahead of tax hearings and court compliance dates.
